There are a number of companies that put out press releases simply to check a box, not realizing that with every release there is an opportunity to capitalize on a brief moment of the media’s attention. The approach can often lead to mistakes that could have been easily preventable. PressRelease.com is offering some solid advice for businesses implementing media communications through press release distribution that will help maintain their authoritative and trustworthy reputation in their industry.

“A proactive approach is key when it comes to avoiding simple mistakes,” says Erik Rohrmann, COO at PressRelease.com. “Honesty and accuracy in reporting are two of the most obvious aspects that come to mind. But there are other things to keep in mind to ensure that your release is correct and reflects positively on your business.”

Prior to writing, content guidelines should be established. With many businesses having several different departments, there can be discrepancies in messaging or miscommunication. Disparate messaging can leave readers confused. Having one, clear standard for the entire business to follow makes sure reporting and storytelling are consistent.

Determine the message before writing and utilize the inverted pyramid format when making your announcement. There have been many companies that have an announcement to make and don’t even get to the announcement until halfway down the page. Using the inverted pyramid format helps structure press releases in a way so the most important information is at the top, and supporting, less pertinent information is lower on the page. It’s easier for the media to make sense of your story this way and doesn’t waste their time with a verbose introduction.

Publish a story that’s newsworthy. Company news and announcements should be part of a greater strategy and communicate something that would be interesting or provide value to a company’s audience. Broadcasting repeated, mundane announcements over the wire without a clear goal or intent only serves to dilute the effectiveness of future communications.
